In the Music Library, sound and video recordings, CD-ROMs, and USB drives that accompany a book or score are shelved separately, not with the book or score itself.

General workflow

In addition to the holdings and item for the book or score, create a separate holdings and item for the accompanying recording.

Changes in practice from Voyager

Holdings records

In Voyager, it was possible to have an item record with a different location than the its holdings record. This inconsistency between the holdings location and the item location violates Alma’s database structure, which is why items that are shelved in different locations have to be on different holdings records.

Accompanying sound and video recordings

If the book or score is being sent to commercial bindery, add a note requesting "Accompanying ____ shelved with sound recordings" be added to the item to the bindery spreadsheet. When the item is returned from being bound, "Accompanying ____ shelved with sound recordings" will be stamped on the item.

In the item records, indicate each format in the Description field.

For the book or score:

• Assign the appropriate the Item material type ("book" or "music score").

• Record the format in the Description field as book, score, etc.

For the sound/video recording:

• Assign the appropriate Item Material Type (“CD,” “Flash drive,” etc.)

• In Description, record the specific term for the accompanying media.

CD-ROMs

In addition to the barcode for the book or score, assign a barcode to the CD-ROM as well.

Assign a call number "CDRM ____" after searching by call number to determine the next number to be assigned. Give the call number in the holdings record:

Add a note in a 590 field in the bib record: "MUS: Accompanying CD-ROM shelved at Circulation Desk as CDRM ____."

In the item records:

• Assign the appropriate the Item material type (“book,” “music score” or “CD-ROM”).

• Record the format in the Description field.

USB Drive

In addition to the barcode for the book or score, assign a barcode to the USB drive as well.

If the book or score is being sent to commercial bindery, add a note requesting "Accompanying ____ shelved with sound recordings" be added to the item to the bindery spreadsheet. When the item is returned from being bound, "Accompanying ____ shelved with sound recordings" will be stamped on the item.

In the item records:

• Assign the appropriate the Item material type (“book,” “music score,” or “other” (for the flash drive)).

• Record the format in the Description field.
