Overview 

GPO Depository Materials or Gov.Doc. consist of federal publications, documents, and data. Yale University Library is a designated Federal Depository Library (FDL), and the Marx Science and Social Science Library hosts this collection. The Technical Services, Monographic Processing unit is responsible for cataloging and processing selected print materials from the Government Publishing Office (GPO).

Analytical Perspective

Receiving and Initial Processing

  1. Upon receipt of a GPO shipment, unpack the materials.

  2. Keep the physical shipping list with the corresponding items.

  3. Forward the materials and their shipping list to the Latin Script Receipt and Cataloging unit.

Pre-Cataloging and Verification

  1. The Latin Script Receipt and Cataloging unit will electronically scan each shipping list.

  2. The scanned shipping list will be emailed to the Social Science Librarian for Research Engagement.

  3. The Social Science Librarian will:

    1. Verify that all items on the shipping list have been received.

    2. Determine if a claim needs to be filed with the GPO for any missing items.

    3. Initiate and manage the claim process with GPO, if necessary.

Cataloging

  1. Initial Search: For each item, search Alma for an existing bibliographic record.

  2. Serials: 

    1. If an existing record is found for a serial, update the Alma bibliographic and holding records to reflect the receipt of the new volume or issue.

    2. Create a new item record for the item in hand.

  3. Monographs:

    1. If a new record is needed for a monograph, search OCLC for a suitable record.

    2. If a suitable record is found, export it to Alma. Complete the holdings and item records.

    3. If no suitable record is available, set the item aside. It will be cataloged when a GPO/OCLC record becomes available.

 Physical Processing and Routing

  1. Holdings Information:

  2. Item Record

    1. Follow Item Record Fields workflow.

  3. Physical Processing Steps: 

    1. Place the barcode on the top-left corner of the item.

    2. Do not add bookplates.

    3. Insert tattle tape into the item.

    4. Stamp the back of the document with the current date using the Yale University Government Document Center stamp. Ensure the stamp is clear and legible. Use a pen or sharpie to clarify the date if needed.

    5. A call number label is not required.

  4. Final Destination: 

    1. After cataloging, all Government Documents should be sent directly to LSF, following the LSF work order workflow.
